Information the application handles

Depending on the company workspace and enabled functions, Business OS handles account and team profiles, contact details, enquiries and complaints, messages, business documents and uploaded evidence, transaction records, and access and audit records. Information may be supplied by you, your company’s authorized users, or a connected service.

Connected accounts

Official social integrations, when authorized and enabled, receive supported comments and messages, profile or account identifiers, attachments, delivery information and timestamps. Authorized team members use this information to review enquiries, handle complaints and provide requested follow-up. Account permissions and provider capabilities determine which features work. Public YouTube comments are reviewed as comments; a posted phone number alone does not authorize automatic CRM contact import.

How information is used and accessed

Information supports the selected company’s sales, support, accounting and operational workflows. Access is controlled by company, role and account assignment. Configured hosting, storage, communication and integration services process information needed for those functions. Sending a reply or document transfers its contents to the selected service and recipient. Public comments and replies remain subject to the provider’s visibility settings.

Storage and your choices

Pausing or disconnecting an integration stops supported future processing; it does not automatically remove previously retained records. Business records, integration messages, audit history and backups may have different retention requirements. Contact us to request access, correction or deletion and to ask which records must be retained for the relevant business or legal obligations. We will verify the requester’s authority before disclosing or changing another person’s information.

Google and YouTube

When enabled, the YouTube integration uses YouTube API Services. See the Google Privacy Policy and YouTube Terms of Service. You can revoke Google access through Google account permissions. Removing data stored by Business OS does not remove the original information held by YouTube or other providers.
